National Democratic Institute Program Assistant/Senior Program Assistant, Tuesday 25th, October 2011


NDI’s Latin America and the Caribbean team seeks a Program Assistant or Senior Program Assistant to support program officers, program managers and the regional director in the day-to-day activities of planning, designing and implementing programs related to strengthening political parties, civic organizations, election bodies, local governments and legislatures in the region. The position is based in Washington, D.C.
Responsibilities
  • Under close supervision and direction, researches or contributes to drafts of proposals, reports, memos, program updates, work plans, and newsletter articles; drafts quarterly reports.
  • Participates in organizing local and regional program conferences, workshops and meetings.
  • Accurately proofreads and inputs edits on proposals; edits programs within team minutes and updates in a timely manner.
  • Monitors political events throughout the region.
  • Under close supervision, creates initial drafts of budgets; monitors small program budgets and reconciles expenditures; generates pipeline of expenses.
  • Under supervision, provides administrative and logistical support to field offices and regional staff; oversees logistics needs of assigned region.
  • Provides support for proposal production and work plan formulation; takes part in strategic and work plan discussions.
  • Provides administrative support for field assessments.
  • Maintains communication with field offices and NDI partner organizations overseas; provides general description of program events to various agencies and other international organizations.
  • Assists with basic management of program purposes and goals by appropriately responding to programmatic administrative support requests and maintaining accurate files and reports.
  • Acts as back-up to other team members.
  • May assist in recruiting and briefing qualified international consultants and volunteers for projects; assists with coordination of new-hire and closeout procedures.
  • With guidance, compiles briefing materials for staff, consultants and volunteers in field programs.
  • Helps train and supervise interns on basic tasks.
  • Translates documents as needed.
Experience Required
  • Bachelor’s degree, preferably in International Relations, Political Science or a related field; graduate degree preferred.
  • Demonstrated coursework and/or internships (Program Assistant) or two (2) years of relevant work experience (Senior Program Assistant) in international development, community organizing, political campaigns, organizational development, legislative affairs or related subject.
  • Experience living/working/traveling overseas preferred.
  • Strong interpersonal skills to effectively interact with all levels of staff, US and foreign government personnel and NGO community.
  • Strong oral and written communication skills to effectively present information and respond to questions.
  • Capacity to work both independently and as a member of a team.
  • Ability to define problems, collect data, establish facts and draw valid conclusions.
  • Working knowledge of basic budget and accounting procedures.
  • Interest in and knowledge of regional political environment and people.
  • Demonstrated political analysis skills.
  • Fluency in oral and written Spanish and English required.
  • Ability to meet with political leaders in-country and effectively articulate NDI mission statements and program/project initiatives.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks simultaneously.
  • Ability to effectively prioritize.
  • Ability to coordinate activities with superiors, colleagues and overseas field staff/subgrantees.
  • Ability and willingness to travel to regional locations which are often remote and difficult to reach.
  • Familiarity with website design and web-based informational and organizational tools. Working knowledge of Microsoft Windows environment, email technology and spreadsheets.
