Crown Agents USA, Inc. (CA-USA) is seeking a Supply Chain Coordinator for the VPP (Voluntary Pooled Procurement) Project in Arlington, VA.

Role & Responsibilities The Supply Chain Coordinator (SCC) is a member of the Global Supply Chain team at the Partnership for Supply Chain Management (PFSCM)’s Project Management Office (PMO) in Washington D.C. He/she is responsible for ensuring the smooth operation of all procurement related activities for the global supply chain (GSC). The GSC consists of two international procurement service agents (PSAs) located in Britain and Netherlands and delivers to more than 40 destination countries. The SCC assists the VPP (Voluntary Pooled Procurement) and GDF teams by backstopping all procurement related activities. He/she is primarily responsible for ensuring that the Purchase Order and Freight & Logistics processes are carried out in a timely fashion and reports on progress to the VPP/GDF Project Director. The SCC also supports the VPP/GDF management team in maintaining communications and facilitates the exchange of information between the PMO and the PSAs in the area of commodity procurement and tracking.
Specific Responsibilities • Manage and monitor the processing of procurement inquiries and orders in coordination with the PSAs as well as the Freight and Logistic Unit • Provide assistance to the PSAs to troubleshooting any system or operational issue, serving as the main point-of-contact for the PSAs as the PMO • Track the progress of orders using the project’s Orion software package, communicating as necessary with colleagues in the PSAs or Freight and Logistics Unit to clarify any missing or questionable information • Work with the Finance and Accounting teams to ensure payments received are allocated to the correct project codes • Ensure purchase orders are only placed with the vendors after payment is received from clients • Communicate the receipt of payment from client to the PSAs and update CRM • Follow up with the Finance Unit to ensure financial statements are submitted in a timely fashion and manages the invoicing close out process for clients in a timely manner • Provide backup support to the VPP Project Director and Deputy Director • Process Sales Orders and Delivery Notes for RDC orders • Data entry and maintenance of the client master • Assures PSAs create and maintain their procurement files in Knowledge Tree • Carry out other relevant tasks, as necessary
Qualifications • French proficiency including both written and verbal skills desired • Bachelors Degree and two or more years of prior work experience in Supply Chain preferred; Combination of Degree and related work history considered • Excellent ability to manage account processing, with proven ability to function in a detail-oriented environment • Ability to work comfortably within Microsoft Office software, specifically Word, Excel, and PowerPoint • Experience with ERP or procurement/supply chain management software a plus • Ability to work effectively both independently and as a team member • Excellent organizational and interpersonal communication skills • Strong written and verbal English language skills
